As a leader in Human Resources, Pauline Gavilanez recognizes how important the first impression is for a new employee. She brought this attitude to Toastmasters as the Brooklin TM VP of Membership, where she pays close attention to new guests and members.
For the last 12 months, Pauline has been working with club members, guests, and other executives to design packages that would provide new comers with the right amount of information at the right time (bite size so not to overwhelm our new guests). The various packages include:
Package 1 – For first time Visitors
- Sign in “Guest Card” sheet (to be completed before meeting end)
- Toastmasters Meeting Flow (a document that outlines the sequence of the meeting so the new comer can follow along

Package 2 – For returning Guests
- General Information about Brooklin Toastmasters meetings (frequency, location etc.)
- Toastmasters Roles and Responsibilities (a document that explains each meeting role)
- Toastmasters Club Fees
- Toastmasters Tips 101 sheet (greetings, timing, word of the day)
- Toastmasters Feature, Benefits and Value sheet
- Brochure – Your Path to Leadership
Package 3 – For New Members
- A copy of the Toastmaster magazine
- Toastmasters Club Executive Roles Overview
- How to log into the Brooklin site (Easy Speak)
- How to log into Toastmasters International
- Information about navigating Pathways
- Information about Evaluations
- Toastmasters Education Program Request Date form
- Current meeting Agenda
- List of current Club Officers
Brooklin TM found that this approach has works well based on feedback from new members. They continue to review each of the packages on a regular basis and adjust as necessary.
